Guest access

Explain guest users for an organization, brand the Home welcome banner, and set a guest accent color.

In the left navigation, open Organizations → pick an organization → open SettingsGuest access. You need permission to edit organization settings.

This page is for internal users who manage the organization. Guest users themselves do not see it.


What guest users are

Guest users are organization members who can sign in to Leadtime. They only see projects and content that belong to this organization. They get a website-style header instead of the internal side menu.

You invite them from Members. See Guest User and Members.


How organization members sign in

If Allow login into system is enabled on a member, that person can sign in with their email and a one-time code sent by email. They do not need a password.

Members without login enabled cannot sign in.


Project documentation

Choose the organization default for what guests can read in project documentation:

  • Hidden — guests see no documentation pages. This is the default for new and existing organizations.
  • All pages — guests who can open a project see every documentation page in that project.
  • Selected pages — guests see only the pages you mark as visible in each project.

This setting does not grant project access. Each project still needs Allow guest access turned on. A project can keep this organization default or override it on Projects → Settings → Guest access.

Internal users keep the complete documentation tree. Organization members never see page History, even on pages that are visible to guests. The built-in Guest role stays read-only. A custom guest role can receive Manage project documentation and then edit only pages that are already visible.


Upload a Custom logo if you want guests of this organization to see your logo instead of the Leadtime logo or the workspace logo.

  • The logo appears in the guest header after the member signs in.
  • If you do not upload a logo, guests see the workspace logo. If the workspace has no logo either, they see the default Leadtime logo.
  • Clearing the file returns guests to the workspace or default logo.

Use a wide image that stays readable at header height. PNG with a transparent background works well.


Welcome banner

Guests see a Welcome banner at the top of Home. Choose one of three options:

  • Default message uses the localized “Welcome, {name}” heading and the workspace invitation text. Guests see this in their own language. The settings preview uses your current language, with sample name John Doe.
  • Custom message shows one rich-text editor. The same text is used in every language. You can insert the guest first name, full name, organization name, and workspace company name. If you leave the editor empty, guests still see the default localized banner.
  • Custom image replaces the whole banner with the uploaded image. You must upload an image before you save this option. The image fills a fixed-height area and is cropped to fit wide and narrow screens.

A Welcome banner preview under the options shows unsaved changes immediately. Switching options keeps unused custom text and unused images. Saving another option does not delete them.


Guest accent color

Set an optional organization color for guests. No organization override keeps the workspace color.

A guest’s personal color has priority. Otherwise, Leadtime uses this organization color, then the workspace color.

Unsaved color changes update only the welcome-banner preview on this page. They do not change the rest of the administration interface until you save.
